Job description

We are seeking an organised and detail-oriented Senior Operations & Finance Administrator to manage key financial administration and operational processes within a growing healthcare supply business.

The successful candidate will be responsible for maintaining accurate Sage 200 records, managing customer and supplier administration, supporting stock control processes, and ensuring smooth coordination between sales, suppliers, hospitals and internal operations.

This role requires someone who is highly organised, takes ownership, enjoys working with systems, and can maintain accurate processes in a fast-paced environment.

Key Responsibilities

Sage 200 System Management

  • Capture and maintain accurate transactions on Sage 200.
  • Create and maintain customer, supplier and stock records.
  • Process sales orders and purchase orders.
  • Maintain pricing structures and customer price files.
  • Perform system checks to ensure data accuracy.
  • Document and maintain operational procedures.

Debtors Administration

  • Process customer invoices.
  • Monitor outstanding customer balances.
  • Follow up on outstanding documentation.
  • Maintain accurate customer records.
  • Assist with debtor reporting.

Creditors Administration

  • Capture supplier invoices.
  • Match invoices with purchase orders and goods received documentation.
  • Maintain supplier records.
  • Assist with supplier queries and statement reviews.

Stock & Inventory Control

  • Maintain accurate stock records on Sage 200.
  • Process stock movements and warehouse transfers.
  • Assist with stock reconciliations.
  • Manage consignment stock administration.
  • Monitor hospital stock count processes.
  • Investigate stock discrepancies.

Hospital & Customer Administration

  • Maintain hospital group pricing.
  • Process annual price adjustments.
  • Support sales representatives with accurate information.
  • Maintain customer agreements and documentation.

Procurement Support

  • Process purchase orders.
  • Liaise with suppliers regarding orders and deliveries.
  • Monitor outstanding orders.
  • Maintain purchasing records.

Process & Documentation Management

  • Maintain “how-to” guides and operational procedures.
  • Ensure processes are documented and updated.
  • Support onboarding and training of future employees.

Skills & Experience Required

Essential:

  • Sage 200 experience (or strong ERP system experience).
  • Minimum 3–5 years administration/accounts experience.
  • Strong Excel skills.
  • Experience with stock/inventory processes.
  • Strong attention to detail.
  • Ability to work independently.

Advantageous:

  • Healthcare/pharmaceutical/medical supply experience.
  • Experience with consignment stock.
  • Experience managing customer pricing structures.
