Job description
Role Purpose
The PMO Senior Consultant will play a key role in building the PMO capability, supporting client-facing delivery, maintaining governance standards, driving follow-up and accountability, and ensuring that project and tender activities are executed within agreed timelines, quality standards and reporting requirements.
Key Responsibilities
PMO Support
- Support the setup, implementation and continuous improvement of the PMO office
- Develop, maintain and improve PMO templates, trackers, logs, dashboards and reporting packs
- Maintain and review RAID logs, action trackers, decision logs, issue logs and dependency registers
- Ensure project documentation is complete, accurate, version controlled and audit-ready
- Support the development of PMO governance standards, processes and operating rhythms
- Assist with the preparation of steering committee packs, governance reports and management updates
- Provide guidance and support to junior PMO resources and interns
Project Coordination
- Coordinate and manage project activities across multiple client and internal projects
- Track project tasks, milestones, deadlines, deliverables, dependencies and risks
- Follow up with stakeholders to ensure actions are completed within agreed timelines
- Support project planning, scheduling, resource coordination and delivery tracking
- Facilitate or support project meetings, workshops, stand-ups and progress sessions
- Prepare meeting agendas, minutes, action logs and project status updates
- Escalate risks, issues, delays and dependencies to the relevant stakeholders timeously
- Support project managers and delivery teams in maintaining control over scope, timelines and deliverables
Tender Coordination
- Coordinate and maintain tender trackers, submission calendars and compliance checklists
- Review tender requirements and support the preparation of structured response plans
- Track tender deadlines, dependencies, inputs, approvals and submission readiness
- Coordinate contributors and follow up on outstanding tender inputs
- Support document control, version management, formatting and quality review of tender documents
- Assist with maintaining a repository of standard tender content, company information, templates and supporting artefacts
- Support compliance checks to ensure tender submissions are complete, accurate and aligned to requirements
- Assist with lessons learnt and continuous improvement of the tender support process
Reporting and Administration
- Compile weekly and monthly project, PMO and tender status reports
- Maintain accurate project, tender and governance data across trackers and dashboards
- Support the development and maintenance of project dashboards and management reports
- Review reports for accuracy, completeness, consistency and quality
- Provide consolidated updates on project progress, risks, issues, actions and upcoming deadlines
- Ensure that PMO and tender documentation is properly filed, maintained and accessible
- Support billing, milestone tracking and evidence preparation where required
Tools and Systems Exposure
- Microsoft Excel — strong capability required
- Microsoft Word and PowerPoint
- Microsoft Teams and SharePoint
- Microsoft Planner or similar task tracking tools
- Microsoft Project
- Smartsheet, Trello, Jira or similar project/task tracking tools would be advantageous
- Exposure to document management, reporting or dashboard tools would be beneficial

Minimum Qualifications
- Degree or diploma in Project Management, Business Administration, Commerce, Operations, Information Systems or a related field
- PRINCE2 Foundation, CAPM, Agile Foundation or similar project management certification required or strongly advantageous
- PRINCE2 Practitioner, PMP, AgilePM, Scrum Master or similar certification would be advantageous
- Additional training in governance, business analysis, tender management or reporting would be beneficial
Minimum Experience
- 5 to 8 years’ experience in PMO support, project coordination, project management, governance or delivery support roles
- Experience working in a structured project, PMO or consulting environment
- Experience maintaining project trackers, RAID logs, dashboards, reports and governance documentation
- Experience coordinating multiple projects, stakeholders, deadlines and deliverables simultaneously
- Exposure to tender coordination, proposal support or bid administration would be advantageous
- Experience in client-facing environments across business, IT, transformation or operational projects would be advantageous
- Experience guiding junior resources or supporting team coordination would be beneficial
