Job Description
Project Coordinator
The Project Coordinator will provide day-to-day coordination, tracking and administrative support to the Programme Manager running the Composable Commerce Re-Platforming Programme at CyberPro Consulting.
The role exists to provide the Programme Manager with reliable operational leverage by keeping plans, actions, risks and reporting current and accurate, ensuring that leadership attention remains focused on key decisions rather than data gathering.
This is a coordination and support role, not a delivery-accountable position. The Project Coordinator does not own squad delivery outcomes but ensures that the programme's operating rhythm runs smoothly and that the Programme Manager, Product Leadership and Exco stakeholders always have an accurate and current view of programme status.
KEY RESPONSIBILITIES
- Maintain the programme plan, milestone tracker and cross-squad dependency map, flagging slippage or emerging conflicts to the Programme Manager early.
- Own the RAID log (Risks, Assumptions, Issues and Dependencies), including logging new entries, following up with owners for updates, and preparing the log for steering committee and Exco review.
- Prepare agendas, minutes and action logs for programme governance forums, including steering committees, architecture reviews and cross-functional syncs, and track actions through to closure.
- Support budget and Capex tracking for the programme, including maintaining spend-to-plan views and highlighting variances to the Programme Manager.
- Manage the programme's document repository, including Confluence and/or SharePoint, ensuring that specifications, decisions and architecture artefacts are current, accessible and correctly versioned.
- Coordinate the programme planning cadence by scheduling sessions, preparing pre-reads, consolidating inputs, and capturing outputs, decisions and commitments.
- Coordinate release-readiness activities across release trains, working with Delivery Managers to track scope, sign-offs and go/no-go inputs.
- Act as a first point of contact for cross-functional coordination queries, triaging and routing them to the appropriate owner where the Programme Manager's direct involvement is not required.
- Support programme reporting by consolidating status updates, key metrics, milestones, risks, dependencies and actions into clear and accurate management reports.
- Assist with maintaining a consistent governance and reporting rhythm across programme workstreams and delivery teams.
CORE COMPETENCIES
- Strong structured planning, coordination and tracking skills.
- Strong risk and issue judgement, with the ability to distinguish between genuine programme risks and operational noise.
- Ability to assess severity and understand when an issue requires immediate escalation versus being logged for the next governance cycle.
- Strong analytical and problem-solving capabilities.
- Excellent written and verbal communication skills.
- Progressive leadership approach, with the ability to uplift, motivate and support teams.
- Experience working across both Agile and Waterfall delivery environments.
- Understanding of financial and vendor management processes.
- Strong stakeholder management skills, with the ability to engage effectively across technical, business and executive stakeholders.
- High attention to detail and the ability to manage multiple priorities in a fast-paced programme environment.
- Proactive, organised and comfortable working independently while keeping the Programme Manager fully informed.
