Job description
JOB SUMMARY
The HSEQ Officer Administrator is responsible for the accurate capturing, management, and administration of all compliance-related information and records within the HSEQ function. This role provides essential support to the HSEQ Officer by ensuring that documentation, registers, reports, and audit findings are properly maintained, accessible, and aligned with Crusade Logistics and client (oil company) requirements. The incumbent plays a key role in supporting HSEQ compliance with OHSACT, ISO, RTMS, and company standards.
MINIMUM QUALIFICATION
- Grade 12 (Matric) essential.
- A certificate or diploma in Administration, Safety/Risk Management, or related field (advantageous).
- Computer literacy (MS Office: Excel, Word, Outlook, PowerPoint) essential.
- Knowledge of OHSACT, ISO 9001, and transport compliance requirements (advantageous).
- Strong organizational, recordkeeping, and data capturing skills.
Key Responsibilities
1. Compliance Data Capturing & Administration
- Capture, update, and maintain all HSEQ compliance registers (e.g., training register, driver medicals, PPE issuance, incident registers).
- Ensure that audit findings, remedial action plans, and closeouts are documented and tracked.
- Maintain digital and physical records of certificates, permits, training provider accreditations, and statutory documentation.
- Support the development and maintenance of the annual HSEQ compliance plan.
2. Audit & Reporting Support
- Record and file monthly audit reports (Journey Management, HSSE, Technical, Driver, Customer Service, and Workshop).
- Track progress of corrective and preventative actions on the Remedial Action Plan (RAP).
- Prepare compliance summaries, dashboards, and reports for management and client reviews.
- Assist the HSEQ Officer in scheduling and recording safety meetings.
3. Incident & Investigation Administration
- Capture and file all accident, incident, and near-miss reports.
- Maintain root cause analysis records and corrective action logs.
- Ensure incident data is up to date for monthly safety meetings and audits.
4. Training & Driver Compliance Support
- Maintain driver training register (HR SR 01) and ensure validity of all training records.
- Track and update driver medical fitness, licences, DGP certificates, and refresher courses.
- File and verify accreditation of training providers.
5. Technical Compliance Administration
- Capture and update preventative maintenance schedules and service records for all fleet and equipment.
- Maintain records of defect reports, breakdown reports, and workshop findings.
- File monthly workshop audit reports to ensure compliance with legal and HSEQ standards.
- Track and report on technical compliance closeouts and preventative maintenance actions.
6. General HSEQ Support
- Provide administrative support for PPE audits and issuance records.
- File and update preventative maintenance and service schedules for fleet compliance.
- Assist the HSEQ Officer with ad hoc compliance projects, audits, and reporting.
