Tsebo Facilities Solutions is loking for Soft Services Supervisor to support the Soft Services Manager in overseeing the day-to-day delivery of soft services across the client's campus. The role ensures cleaning, hygiene, landscaping, pantry, ponds, pest control, reception, waste, transport services, and related functions are delivered in accordance with contractual requirements, agreed service levels, and Tsebo standards. The incumbent is responsible for operational supervision, supplier governance, reporting, administration, compliance management, and delivering exceptional customer service while supporting TFS.

Duties & Responsibilities

Operational Management

  • Supervise the Moves & Churns team and ensure all relocations, furniture moves, and equipment transfers are executed safely, efficiently, and with minimal disruption.
  • Support the Soft Services Manager in maintaining high standards across cleaning, hygiene, landscaping, pantry, ponds, pest control, waste management, reception, and related services.
  • Conduct routine site inspections and service quality audits.
  • Monitor contractor performance and ensure compliance with service level agreements (SLAs) and key performance indicators (KPIs).
  • Provide operational support during peak workload periods, events, and special projects.

Supplier and Contract Management

  • Assist with supplier governance activities and performance reviews.
  • Monitor supplier compliance with contractual obligations and regulatory requirements.
  • Support contract evaluations and KPI reporting processes.
  • Assist in drafting Bills of Quantities (BOQs), obtaining quotations, and preparing comparative analyses.

Administration and Reporting

  • Prepare agendas, attend meetings, record minutes, and track action items.
  • Produce accurate reports, presentations, spreadsheets, correspondence, and operational documentation.
  • Maintain document control systems and ensure records remain audit-ready.
  • Upload and manage information on Tsebo systems and shared drives.

Stock and Asset Management

  • Act as custodian of hygiene and beverage consumables.
  • Manage stock levels, usage monitoring, replenishment planning, and reporting.
  • Assist with quality control processes and recommend continuous improvement initiatives.

Financial Administration

  • Support operational budget monitoring and cost control processes.
  • Assist with purchase orders and expedite urgent procurement requests where required.
  • Prepare basic financial reports and analyses using Microsoft Excel.

Compliance, SHEQ and Risk Management

  • Maintain compliance records, HSE documentation, and statutory certificates.
  • Support SHEQ initiatives and ensure adherence to Tsebo and client policies.
  • Ensure safe working practices are followed by internal teams and service providers.

People Management and Customer Service

  • Coordinate leave schedules and workforce planning for Soft Services staff.
  • Foster positive working relationships with clients, subcontractors, suppliers, and internal stakeholders.
  • Respond proactively to service-related issues and customer concerns.
  • Promote a culture of continuous improvement, professionalism, and service excellence.

Skills and Competencies

  • Sound understanding of Facilities Management operations, particularly Soft Services.
  • Knowledge of SLA management, supplier governance, and contract compliance.
  • Understanding of Tsebo operational processes and client service requirements.
  • Working knowledge of SHEQ requirements and compliance documentation.
  • Proficiency in: Microsoft Word Microsoft Excel Microsoft PowerPoint Outlook Ability to compile reports, presentations, budgets, and operational analyses.
  • Knowledge of procurement processes, quotations, BOQs, and purchase order administration.
  • Experience with stock control and consumable management.
  • Strong documentation and records management capability.

Qualifications

Qualifications

  • Grade 12 / Matric.
  • Studies towards a Facilities Management qualification.
  • Post-Matric qualification in Hospitality, Facilities Management, or a related field.

Experience

  • 4–5 years' experience within Facilities Management, specifically Soft Services.
  • Proven experience managing multiple soft service streams including:
  • Cleaning
  • Hygiene Services
  • Landscaping
  • Pest Control
  • Waste Management
  • Reception / Concierge Services
  • Supervisory experience managing teams and/or subcontractors.
  • Experience within a large corporate or international client environment.
