Job Description
The Specialist Sales Ops is responsible for managing day-to-day sales operations and customer service activities ensuring adherence to Standard Operating Procedures and compliance with Group Governance, Risk, and Compliance policies. The Specialist Sales Ops supports the Manager Sales Operations in delivering high standards of operational excellence and customer service for all transactions, acting as the primary contact for efficient, compliant execution of commercial operations.
Performance and Delivery
- Execute OTC requirements for sales and Invoice-to-Pay for purchase contracts, including generating provisional and final invoices, obtaining approvals, and submitting to counterparties. Ensure shipping and delivery schedules are accurate and that all shipping documentation (e.g., bills of lading, quality certificates) meets contractual and regulatory requirements.
- Manage shipping and delivery plans, including nominations, vetting, insurance, and document instructions (e.g., FCA,FOB…) according to schedule availability, customer requirements, and expedition dates. Coordinate with logistics suppliers for timely product delivery, sending shipment notifications to customers and/or agents as needed.
- Reconcile product declaration values (SAD 500 - Customs Export Declaration and SAD 554 - Voucher of Correction) against system invoices, ensuring accurate reporting and managing any shortfalls in supply with sales managers as needed.
- Liaise with customer and supplier operations teams, handling queries on invoices and shipping documents, and maintaining a high service level. Manage relationships between Marketing and Finance (Accounts Receivable/Payable) and ensure accurate records are kept in line with legal and tax requirements.
- Execute sales operations within Business Integrity and Governance policies, identifying contract compliance discrepancies and reporting risks. Provide advisory input on policies and support continuous improvement initiatives, including key optimization projects and use of Aspect as the system of record.
Qualifications
Bachelor’s degree in related fields
Experience:
Demonstrate 3 – 4 years relevant experience and knowledge of international trade, shipping, and commodity markets, with expertise in sales contracts, trade finance, financial instruments (swaps, borrows) and quality implications for sales, purchase, and freight contracts.
Technical knowledge (experience) required for role:
- Commodity Market knowledge (Platinum Group Metals, Base Metals, Bulks) & Commercial Experience, ideally within commodity trading
- Transactional or operational knowledge of detailed product specifications, Shipping (Air/Containers/Bulk), Freight, Delivery terms and penalties (laycans, demurrage dead freight, etc.) or documentation requirements (bills of lading or payment requirements based on documents).
- Accounting experience (desirable)
- Relevant experience in contract law and/or contract management in supply chain or other commercial discipline
- Ensure adherence to strict governance and compliance protocols and proactively resolve issues affecting contract performance, consulting with managers or traders as needed.
