Job description
Starke Ayres is the foremost African specialist and global supplier of premium vegetable, flower and lawn seed varieties – both for commercial and home garden planting. The following position has become available for a Bookkeeper and Administrator, based in Rosebank, Cape Town.
Purpose: To provide strong bookkeeping and administrative support to the Garden Centre by managing and overseeing all financial and office-related activities, ensuring the smooth and efficient running of the office.
RESPONSIBILITIES:
Financial & Bookkeeping Management
- Pay supplier invoices within agreed terms.
- Complete monthly bank reconciliations by the 3rd working day.
- Capture expenses and sales accurately on monthly GP and sales reports.
- Maintain a well-organized, up-to-date accounting filing system.
Cash Management & Reconciliation
- Reconcile and balance petty cash weekly with complete documentation and monthly reconciliations.
- Verify daily cash-ups and POS reconciliations and ensure timely banking.
- Issue and reconcile cash floats for till points.
- Monitor and report on till discrepancies (discounts, voids, credit notes, surpluses, and deficits).
- Notify the Garden Centre Manager of banking discrepancies within 24 hours.
- Maintain a secure, orderly cash office environment.
Point of Sale (POS) Administration & Control
- Ensure all cashiers follow correct transaction and cash-handling procedures.
- Perform daily and monthly POS backups and run reports accurately.
- Train staff to operate the point-of-sale system as required.
Systems & IT Coordination
- Log IT faults and follow up with the IT service provider until resolution.
- Suggest improvements to systems and procedures where applicable.
- Ensure all systems are functioning with minimal disruption.
General Administration
- Complete general administrative and clerical tasks promptly and accurately.
Staff Supervision & Leadership
- Manage and mentor cashiers.
- Monitor cashier compliance with company procedures and standards.
- Provide ongoing support and training to cashiers and POS users.
REQUIREMENTS:
Education:
- Grade 12 National Senior Certificate (essential)
- Bachelor’s degree finance or Bookkeeping diploma (preferential/advantageous)
Experience:
- 5 – 10 years’ experience in as a bookkeeper and very strong admin
- Experience using Sage X3 or similar financial software (advantageous)
Skills:
- Proficient in MS Office, especially Advanced Excel and MS Teams
- High attention to detail and accuracy
- Maintains strict confidentiality in handling financial information
Other:
- Working hours 8h00 - 17h00 (Cash up may take a bit longer)
