ABOUT THE ROLE

Total Ninja is looking for a detail-driven and commercially minded Stock Control Coordinator to join our Finance team.

This is a hands-on role responsible for coordinating stock control, reconciliation and reporting across our group of venues. Working closely with Finance, Venue Managers and F&B teams, you will help ensure stock is accurately counted, correctly valued and properly accounted for — and that variances are investigated, understood and actioned.

The role will also support the Group’s Just-in-Time (JIT) ordering approach, using stock levels and consumption information to help venues order appropriately, reduce unnecessary stock holding and protect margins.

This role is suited to someone who enjoys working with numbers, understands the importance of strong controls and doesn't simply identify a discrepancy, but follows it through to resolution.

KEY RESPONSIBILITIESStock Control, Ordering & Reconciliation

• Act as custodian of the Group's stock control sheets, templates and records.
• Coordinate the weekly and monthly submission of stock sheets from all venues, ensuring these are received accurately and on time.
• Assist with and support physical stock takes and related stock administration.
• Update monthly stock sheets and distribute these across the Group.
• Review stock counts and reconciliations and identify unusual or material variances.
• Investigate stock variances and follow up with Venue Managers, Finance Managers and F&B Managers to understand the cause.
• Coordinate weekly stock review meetings with the relevant operational and finance teams to discuss variances, findings and required corrective actions.
• Track agreed corrective actions and follow up to ensure these are implemented.
• Escalate unresolved or recurring stock-control issues to management.
• Maintain accurate and organised supporting documentation and stock-control records.
• Assist venues with Just-in-Time (JIT) ordering by reviewing stock on hand, usage and expected requirements to support appropriate ordering levels.
• Identify potential over-ordering, excess stock holding or unusual ordering patterns and raise these with the relevant Venue Manager or F&B Manager.
• Support the Group in maintaining sufficient stock to meet operational requirements while minimising unnecessary stock holding, wastage and cash tied up in inventory.

Stock Accounting & Reporting

• Prepare monthly stock valuations based on completed and approved stock counts.
• Maintain and update stock cost prices to support accurate stock valuations.
• Prepare monthly cost of sales (COS) journals across Total Ninja, Shooters and TNRP.
• Prepare and process inter-branch transfer (IBT) stock journals across the Group.
• Prepare monthly gross profit (GP) reports for the Group.
• Review GP results and highlight significant movements, unusual trends or areas requiring investigation.
• Support Finance with stock reconciliations and month-end reporting.
• Provide management with clear reporting on stock variances, findings and corrective actions.

Systems & Administration

• Provide administration support across Lilypad, Lightspeed and Roller.
• Create new sales tickets and products within Lilypad as required.
• Maintain and update selling prices within Lilypad as required.
• Assist in ensuring product, pricing and stock-related information within operational systems remains accurate and up to date.
• Support the Finance team with general accounting and finance administration as required by the Finance Manager and Finance Director.

MINIMUM EXPERIENCE & SKILLS

• Minimum 2–3 years' relevant experience in stock control, inventory management or a finance role involving significant stock responsibility.
• Practical experience with physical stock takes, stock reconciliations and variance investigation.
• Working knowledge of stock valuation, cost of sales and gross profit.
• Experience supporting or preparing month-end stock journals and reconciliations.
• An understanding of stock ordering, stock levels and inventory management principles.
• Strong Excel skills and confidence working with detailed stock data and spreadsheets.
• Experience using POS and/or inventory management systems.
• Strong numerical and analytical ability with excellent attention to detail.
• Able to investigate discrepancies, identify likely causes and follow matters through to resolution.
• Highly organised and able to manage recurring weekly and monthly deadlines.
• Confident communicating with and following up with managers across multiple venues.
• Able to work independently while forming part of a wider Finance team.

ADVANTAGEOUS

• Previous experience within hospitality, restaurants, retail, leisure or another multi-site operational environment.
• Relevant bookkeeping, accounting, finance or stock-management qualification.
• Experience working across multiple business units or locations.
• Experience with Just-in-Time ordering or inventory replenishment processes.
• Experience with Lilypad, Lightspeed and/or Roller would be advantageous but is not essential.

WHAT WE'RE LOOKING FOR

This role requires more than someone who can capture a stock count.

We're looking for someone who is naturally curious about the numbers and prepared to ask questions when something doesn't make sense. You should be comfortable identifying a variance, working with the relevant venue or department to understand what caused it, and following through until the issue has been resolved.

You will also use stock information to help the business make better ordering decisions — ensuring venues have what they need to operate without unnecessarily overstocking.

You will need to be confident enough to engage with Venue Managers and F&B Managers, while maintaining a constructive and solutions-focused approach.

Accuracy, consistency and accountability are important. Our venues operate in a fast-paced environment, and good stock control plays a direct role in protecting margins, managing working capital and improving venue performance.
