This is a full-time position, based at Viljoenskroon. Overall Administration of production inventories, processing orders, checking that stock levels are consistent, and ordering new products if needed.

Minimum Requirements

• Matric/Grade 12.
• 5 years’ relevant experience in FMCG environment
• Excellent Computer Literacy

Duties and Responsibilities

1. Control Raw material, Premix and Medication inventory levels

• Monitor usage rates of all production inventory commodities.
• Initiate and coordinate replenishment of inventory with the Procurement Department.
• Confirm that requested orders are placed on Syspro by the procurement department.
• Expedite the delivery of orders placed
• Coordinate all surplus or obsolete inventory items with the technical department for re-application or disposal.
• Act timeously when the formulation process requires the sourcing of new commodities.
• Ensure that all approvals and documentation is done per procedure and maintain a proper filing system.

2.Coordinate the inventory count and reporting process

• Arrange stock counts dates and count teams
• Scrutinize daily stock count sheets to detect count errors/omissions and verification signatures (With the help of the Operational Manager)
• Maintain a daily inventory control spreadsheet indicating the calculation of theoretical inventory levels on site compared to physical counts.
• Maintain back up schedule’s indication the volume calculations for all stored material (Bins, Bunker, Silo’s, Containers, Stored bags.
• Investigate obvious errors and direct major variances to Factory management for justification and corrective action.
• Update Syspro with the final reconciled month end physical count numbers.
• Generate and reconcile final stock variance reports.
• Ensure that all documentation is done by procedure and maintain a proper filing system.

3.General & Daily Administration

• Summarize monthly production in product code sequence & daily production volumes for plant broken down into bulk, bags & Tubs.

• Keep excel sheets of issue, receive and variance patens populate daily graph

• Daily loss control stock sheet (critical stock, Bunker, Silo recon) & Daily production stats send to relevant people

• Do daily walk about through plant on timeous basis to ensure accurate stock levels are adhered to.

• Reconcile daily production data with Raw material issues and update issues on Syspro.

• Maintain inventory related statistics. (Issues, Purchases, transfers and Variance patterns.)

• GRN raw material & transport of raw material

• All raw materials and transport must be on Margaret against relevant orders and must balance with GRN on Syspro

• Balance orders with GRN on Syspro

• Generate purchase orders for production related items such as empty Tubs, Packing materials, new bags and Bag tickets

• Stand in when other production admin staff are absent.

• Partake in weekly stock counts.

• Adhere to all ISO Safety regulations, standards and legislation as per company policy

• Support the Administration management in month end procedures and ad hoc tasks.

• Prevent wastage

• Ensure compliance to housekeeping procedures

• Transfer stock to other mills
