Join Our Team

THE Pretoria Hotel is seeking a meticulous, organised, and proactive Stock Controller to join our Finance and Operations team. The successful candidate will be responsible for the effective management, control, and safeguarding of all hotel inventory, ensuring that stock levels are maintained accurately and efficiently to support the hotel's Food & Beverage, Housekeeping, Maintenance, and other operational departments.

This role requires a detail-oriented individual with strong analytical skills, excellent organisational abilities, and a commitment to maintaining accurate stock records and cost control.

Key Responsibilities

Inventory Management

  • Receive, inspect, and verify all goods delivered to the hotel against purchase orders and supplier invoices. Ensure all stock is correctly recorded, labelled, stored, and issued in accordance with hotel procedures. Monitor stock levels and ensure adequate inventory is maintained without overstocking. Issue stock to authorised departments and maintain accurate stock movement records. Implement and maintain effective stock control systems and procedures.

Stock Control & Cost Management

  • Conduct daily, weekly, and monthly stock counts for all departments, including Food & Beverage, Housekeeping, Maintenance, and General Stores. Investigate stock variances and report discrepancies promptly. Monitor stock usage and identify opportunities to reduce wastage, losses, and shrinkage. Assist in controlling food, beverage, housekeeping, and maintenance costs through accurate inventory management. Ensure stock is rotated using the First-In, First-Out (FIFO) principle where applicable.

Receiving & Purchasing Support

  • Verify the quality and quantity of goods received. Report damaged, expired, or incorrect deliveries to the Purchasing Department or suppliers. Liaise with suppliers regarding delivery discrepancies. Work closely with department heads to forecast stock requirements.

Administration & Reporting

  • Maintain accurate inventory records and stock registers. Prepare daily, weekly, and monthly stock reports for management. Capture stock transactions accurately on the hotel's inventory management system. Maintain proper filing of delivery notes, invoices, stock requisitions, and inventory documentation. Assist with month-end stock valuations and financial audits.

Compliance & Safety

  • Ensure storerooms are clean, secure, and organised. Maintain appropriate storage conditions for food, beverages, chemicals, linen, and maintenance materials. Ensure compliance with health, safety, hygiene, and food safety regulations. Safeguard hotel assets by maintaining strict stock security procedures.

Minimum Requirements

  • Grade 12 (Matric) or equivalent. Diploma or Certificate in Inventory Management, Supply Chain Management, Logistics, Hospitality Management, or a related field will be advantageous. Minimum of 2–3 years' experience as a Stock Controller, Storekeeper, or Inventory Controller in a hotel, hospitality, retail, or food and beverage environment. Strong understanding of inventory control principles and stock management procedures. Computer literacy, including Microsoft Excel and inventory or stock management systems. Excellent numerical accuracy and attention to detail. Ability to work independently and meet reporting deadlines.
