Job description
Role Purpose
The Store Admin Controller will play a vital role in establishing strong administrative and financial controls from day one by ensuring accurate invoice processing, effective cost control, audit readiness, and efficient back-office operations. This role is responsible for maintaining safety, compliance, supporting smooth store operations and protecting the business through sound financial and administrative practices.
Key Responsibilities
- Manage and process store invoices, purchase orders, credits, returns, and payment-related queries accurately and within agreed timelines
- Review invoices and transactions to ensure correct allocation of expenses, assets, investments, and operational costs
- Create and maintain purchase orders in line with business processes and approved budgets
- Monitor financial transactions, investigate discrepancies, and ensure accurate classification of costs within the ERP system
- Support month-end processes by reviewing reports, identifying variances, and escalating financial concerns
- Maintain accurate records and documentation to support internal and external audits
- Assist with asset management including asset verification, register maintenance, and asset count processes
- Monitor store contracts, service agreements, and billing activities to ensure accuracy and compliance
- Identify billing errors, investigate transactional discrepancies, and support corrective action where required
- Work closely with store departments including Finance, Cash Office, Customer Services, Operations, and Store Leadership to resolve queries and improve processes
- Analyse back-office transactions and ensure compliance with company policies, procedures, and standard operating processes
- Maintain control over store administration records including registers, reports, trackers, and compliance documentation
- Support stock control processes relating to store consumables and operational requirements
- Review CRM packs and administrative documentation to ensure accuracy and provide feedback to relevant stakeholders
- Promote strong administrative discipline and financial awareness across the store environment
Qualification and Experience
- Matric (Grade 12) or equivalent qualification
- Relevant qualification in Business Administration, Finance, Accounting, Retail Management, or related field would be advantageous
- Previous experience in a Store Admin Controller, Retail Administration, Finance Administrator, Accounts Assistant, or similar role
- Experience working in a retail, DIY, hardware, warehouse, or operational environment would be advantageous
- Knowledge and understanding of invoice processing, purchase orders, financial controls, and administrative procedures
- Experience using ERP systems and managing financial or operational reports
- Strong attention to detail with the ability to identify errors, discrepancies, and process gaps
- Good understanding of compliance requirements, audit processes, and document management
- Strong organisational and administrative skills with the ability to manage multiple priorities in a fast-paced store environment
- Excellent communication skills with the ability to work effectively with internal teams and external service providers
