Tsebo Facilities Solutions is looking for a Store Administrator to manage and control the movement of maintenance stock, spare parts, and equipment from the stores to operational units, ensuring accurate stock levels in line with business requirements. The role also includes the safe transport, delivery, and collection of materials while maintaining compliance with company policies, safety standards, and regulatory requirements.

Duties & Responsibilities

Stock Transfers

  • Receive and verify incoming stock against invoices and quality standards
  • Identify and document discrepancies (returns, shortages, price differences) and report to the Stock Controller
  • Issue stock according to approved picking lists and standard operating procedures
  • Maintain clean, secure, and compliant storage areas
  • Ensure all documentation is submitted for capturing in the IFS system Investigate and resolve stock variances promptly
  • Respond to stock-related queries and escalate where necessary

Stock Control

  • Participate in monthly stock takes and ad hoc recounts Identify and resolve discrepancies, reporting shortages and overages
  • Maintain accurate stock control records and filing systems
  • Ensure stock levels are aligned with operational requirements
  • Report obsolete stock for disposal

Operational Delivery

  • Deliver and collect goods, equipment, and documents to and from business units and employees
  • Load vehicles safely and organise delivery routes efficiently
  • Confirm all deliveries and collections with proper documentation
  • Maintain accurate delivery records and logs
  • Ensure vehicle is clean, serviced, licensed, and roadworthy
  • Perform shuttle services where required and maintain approved trip sheets
  • Ensure all deliveries and collections comply with company safety and legal standards
  • Handle all correspondence and hand deliveries accurately
  • Support other drivers when required and assist with ad hoc tasks

Customer Focus

  • Maintain a customer-focused approach in all interactions
  • Support operational efficiency and service delivery
  • Resolve queries, complaints, and requests promptly Work collaboratively with internal teams to improve service outcomes

Reporting

  • Prepare and submit daily, weekly, and monthly reports within required timelines
  • Maintain accurate records for stock, deliveries, and operations

Conduct and Compliance

  • Adhere to TFS policies, procedures, and SHEQ standards Uphold ethical conduct and company values
  • Take accountability for personal performance
  • Work flexibly to support operational needs

Skills and Competencies

Technical Skills

  • Strong stock checking and inventory control skills
  • Attention to detail and accuracy
  • Clerical and administrative ability
  • Problem-solving and analytical skills
  • Ability to interpret policies, procedures, and data
  • Excellent driving skills and road safety awareness
  • Knowledge of local routes and navigation
  • Basic map reading and route planning
  • Strong communication skills (written and verbal)

Qualifications

Qualifications

  • Matric with Mathematics / Numeracy N3
  • Technical qualification (or equivalent)
  • Valid driver’s licence (no endorsements)
  • PDP licence (advantageous)
  • Accident-avoidance training (advantageous)

Experience

  • Minimum 2 years in maintenance stores or inventory control
  • Minimum 3 years’ driving experience
  • Experience with IFS system (advantageous)
  • Experience working in a fast-paced, team-based environment
  • Willingness to work shifts
