Supervisor: Billing

The Role JOB PURPOSE:

To manage the end-to-end billing process, ensuring that customer invoices are accurate, complete, compliant and issued within agreed customer timelines. The role supervises Billing Clerks and Billing Specialists, approves billing batches, ensures rates sign-off compliance, maintains billing data integrity, resolves escalated billing issues and drives process improvements to minimise revenue leakage.

DUTIES & RESPONSIBILITIES:

• Oversee weekly and month-end billing runs across all customer segments.
• Ensure billing runs are completed accurately, completely and within agreed customer timelines.
• Coordinate billing activities to support customer despatch deadlines and month-end revenue requirements.
• Allocate workloads across Billing Clerks and Billing Specialists based on billing cycles, customer complexity and team capacity.
• Set daily and weekly priorities to ensure billing deliverables are achieved.
• Monitor workload progress and reallocate tasks where required to manage bottlenecks
• Approve billing batches for despatch once completeness, accuracy and readiness checks have been completed.
• Ensure rates sign-off is received and applied before billing batches are released.
• Maintain evidence of billing approvals and rates sign-off in line with internal control requirements.
• Manage billing accuracy, completeness, turnaround times and compliance with customer billing requirements.
• Monitor billing errors, invoice rework, rejected invoices, credit notes and customer billing queries.
• Implement quality checks to prevent inaccurate or incomplete invoices from being issued.
• Resolve escalated billing issues, customer invoice queries, rejected invoices and recurring billing exceptions.
• Identify root causes of billing errors and coordinate corrective action with relevant stakeholders.
• Escalate systemic billing risks to the Head of Revenue & Collections where intervention is required.
• Maintain customer master data integrity to support accurate billing and invoice despatch.
• Ensure customer billing details, account set-up, billing rules and invoice requirements are accurate and updated.
• Coordinate corrections to customer billing information where data errors impact billing accuracy or turnaround.
• Identify and implement billing process improvements to increase accuracy, efficiency and control.
• Review recurring billing errors and implement corrective actions to prevent repeat failures.
• Support process standardisation, documentation and continuous improvement within the billing function.
• Lead, coach and develop Billing Clerks and Billing Specialists to achieve billing accuracy, service and compliance standards.
• Set performance expectations, provide feedback and address capability or performance gaps.
• Promote accountability, accuracy, urgency and continuous improvement within the billing team
• Produce billing and revenue reports for operational monitoring and management review.
• Report on billing volumes, accuracy, turnaround, error trends, credit causes and SLA performance.
• Highlight billing risks, revenue leakage concerns and corrective actions to the Head of Revenue & Collections.

Skills and Experience Qualifications:

• Grade 12
• Diploma in Finance, Commerce, Accounting or related field advantageous

Experience:

• Minimum 5 years billing, invoicing, accounts receivable or revenue operations experience
• 2–3 years supervisory or team leadership experience within a billing or finance administration environment

Required Knowledge:

• Sound knowledge of billing, invoicing and accounts receivable processes.
• Understanding of end-to-end invoice production, billing batches, customer account billing rules and invoice despatch controls.
• Knowledge of rates application, rate sign-off requirements, billing validations and exception handling.
• Understanding of billing accuracy controls, credit note drivers, invoice rework, customer billing queries and revenue leakage risks.
• Working knowledge of ERP, billing systems, financial systems and Microsoft Excel reporting.
• Understanding of supervisory practices, workload allocation, quality monitoring and performance management

Required Skills:

• Ability to lead, allocate work, monitor performance and drive delivery through Billing Specialists and Billing Clerks.
• Strong invoice review, billing validation, reconciliation and quality control skills.
• Ability to analyse billing errors, identify root causes and implement corrective actions.
• Strong verbal and written communication skills for stakeholder engagement, escalation and reporting.
• Ability to prioritise high-volume billing workloads and manage deadlines under pressure.
• Proficiency in Microsoft Excel, billing systems, ERP/financial systems and reporting tools.
• Ability to make sound decisions within delegated authority and maintain strong internal controls.
