Job description

Purpose of the Job

The Nightshift Supervisor is responsible for coordinating and supervising operational activities during the night shift, ensuring that vehicles, drivers, and processes run smoothly in line with company standards. The role involves compiling operational reports, monitoring staff punctuality and performance, conducting vehicle inspections, overseeing refueling and returns processes, maintaining professional client relations, and ensuring accurate documentation is submitted on time.

Key Responsibilities:

Night Operations Supervision

  • Ensure all staff members arrive punctually for their scheduled routes and are prepared for their duties.
  • Supervise drivers throughout the shift, addressing operational queries and providing immediate support when required.
  • Deliver ongoing guidance and training to staff, reinforcing operational standards and safety practices.
  • Oversee the general flow of night operations, ensuring that tasks are completed efficiently and in accordance with company procedures.
  • Conduct routine vehicle inspections to confirm roadworthiness and compliance with safety standards.
  • Monitor debriefing processes to ensure accuracy, completeness, and proper documentation of driver feedback.
  • Supervise the returns clerk, ensuring that returned goods are processed accurately and in line with company protocols.
  • Meet with customers to confirm vehicle loading requirements and ensure expectations are met.
  • Supervise and control vehicle refuelling processes, ensuring compliance with safety and operational standards.

Operational Reporting

  • Compile and submit detailed daily operational reports that capture all key activities and outcomes from the night shift.
  • Generate and print accurate loading schedules to ensure vehicles are prepared for dispatch in line with customer requirements.
  • Populate the activity report for the day shift, providing a clear record of completed tasks and outstanding issues.
  • Prepare the Inter‑Branch Transfer (IBT) report to document the movement of goods between branches.
  • Compile the kilometre tracking (KM) report to monitor vehicle usage and fuel efficiency.
  • Finalise and submit the Proof of Delivery (POD) report, ensuring all deliveries are accounted for and documented correctly.

Client Relations

  • Maintain professional and diplomatic interactions with clients, fostering positive working relationships.
  • Ensure all required documentation is submitted accurately and on time to meet client expectations.
  • Address and resolve driver‑related queries raised by clients, providing clear and timely solutions.

Internal Communication

  • Liaise with the operations team to communicate additional requirements or changes to service needs.
  • Provide clear updates on night shift activities to ensure continuity between shifts and alignment with operational goals.

Minimum Requirements:

  • Grade 12
  • 3+ years’ experience in site operations based at a client’s site, with at least one out of the three years in a supervisory role.
  • Intermediate proficiency in Microsoft Office Suite, with the ability to prepare operational reports, kilometer tracking documents, and Proof of Delivery records accurately.
  • Proficiency in transport management systems to coordinate route scheduling, monitor driver debriefing processes, and ensure accurate Proof of Delivery reporting.

Skills Required

  • Strong communication skills to liaise with staff, clients, and internal teams effectively.
  • Proven troubleshooting skills to resolve operational and driver‑related queries promptly.
  • Solid data entry skills to compile accurate reports and documentation.
  • Effective leadership skills to guide, train, and motivate staff during night operations.
  • Attention to detail to ensure accuracy in reporting, documentation, and compliance checks.
  • Organisational skills to coordinate schedules, vehicle loading, and operational flow.
