KEY EXPECTATIONS AND DELIVERABLES OF THE ROLE

The Purpose of the Role

The individual in the role is required to will oversee the planning, coordination, budgeting, quoting, booking, and execution of production projects and studio operations, ensuring efficient delivery, operational compliance, and cost control. A strong industry network and established rolodex of crew, suppliers, studio rates and talent is essential.

Production and Project Coordination

Coordinating and supervising production related projects and ensuring , budgets and operation requirements are met.

Managing project schedules and production workflows to ensure efficient resource utilisation: from pre-production to postproduction.

Overseeing production logistics with precision, including studio bookings, and it’s associated facilities

Monitoring project progress and addressing operational challenges to ensure successful project delivery.

Assisting with the preparation and management of production schedules and operational plans.

Studio and Facilities Operations

Ensuring studios, production areas and facilities are production ready and maintained according to operational standards

Conducting client walkthroughs with the General Manager, studio tours and site inspections to align production requirements with facility capabilities.

Coordinating facilities related operational requirements and support services.

Liaising with maintenance teams and service providers to ensure operational continuity and studio readiness.

Budgeting, Quotations and Contract Administration

Advise on and manage quotations, invoices, budgets and cost estimates for production and facilities related for local and international clients.

Monitoring project expenditure and resource allocation to ensure budget compliance.

Provide industry knowledge to develop and draft crew contracts, studio hire agreements, annexures, and related operational documentation related to the studio.

Supporting financial administration processes related to production projects and facility usage.

Client and Stakeholder Management

Building and maintaining strong relationships with clients, production companies, suppliers, contractors, freelancers and internal stakeholders.

Servicing as a key point of contact for operational and production related enquiries in a studio environment.

Coordinating client requirements and ensuring service delivery meets expectations and operational standards of a studio.

Facilitating effective communication between production teams, clients, and service providers.

Supplier and Resource Coordination

Coordinating external suppliers including cleaning services, lighting providers, technical support teams, maintenance contractors, and other operational vendors.

Ensuring all required resources, equipment, and support services are available and delivered according to production requirements.

Monitoring supplier performance and service delivery standards.

Compliance, Reporting and Administration

Supporting safety, health and environmental compliance initiatives and operation safety requirements.

Maintaining accurate production records, operational documentation, contracts and project files.

Preparing and delivering operational, resource utilisation, and project performance reports.

Ensuring compliance with company policies, procedures, and industry standards.

Process Improvement

Identifying opportunities to improve production coordination systems, operational workflows, and resource management processes.

Implementing best practises to enhance efficiency, quality, and overall operational performance.

Contributing to continuous improvement initiatives across production and facilities operations.

Production & Project Delivery

Accountable for the successful planning, coordination, and delivery of production projects, ensuring timelines, budgets, operational requirements, and quality standards are achieved from pre-production through to project completion.

Studio Operations & Facility Management

Ensure studios, facilities, and production environments are fully operational, production-ready, maintained to required standards, and capable of supporting client and production requirements.

Key Performance Indicator 3

Commercial Quoting & Budgeting: manage accurate, competitive, and commercially viable quotations, budgets, and cost estimates aligned with industry benchmarks, client requirements, and profitability targets.

Key Performance Indicator 4

Client, Stakeholder & Supplier Relationship Management: Develop and maintain strong relationships with clients, production companies, suppliers, contractors, freelancers, and internal stakeholders to ensure exceptional service delivery and operational support.

Key Performance Indicator 5

Compliance, Governance & Risk Management: Ensure adherence to company policies, contractual requirements, safety regulations, operational procedures, and industry best practices while maintaining accurate records and documentation.

Key Performance Indicator 6

Operational Excellence & Continuous Improvement

Drive efficiencies across production coordination, resource management, workflows, systems, and operational processes to improve service delivery, quality, and studio performance.

A National Diploma in Project Management and/or Production Management

A Degree in Project Management and/or Production Management

A minimum of 6-8 years experience within a similiar role
