General roles & responsibilities
1. Managing front of house and practice administration
2. Greeting and assist patients in a courteous and kind manner
3. Answer telephone promptly
4. Keep patients informed if doctor is running later and manage service delays professionally
5. Show empathy towards patients and anticipate patients anxieties
6. Scheduling appointments for patients
7. Managing electronic diary
8. Ensuring maintenance of reception area
9. Registration of new patients
10. Updating details of existing patients
11. Safeguard patient privacy and confidentiality
12. Answer patient inquiries
13. Efficient filling and retrieval of patient records
14. Maintain accountability of payments, collections and receipting of monies
15. To comply with practice protocol for the collection of results from the hospital and advise patients of any action/advice requested by doctor
16. To liaise with the Practice Manager when required and follow instructions from them when necessary
17. To act in a way that recognises the importance of people’s rights, interpreting them in a way that is consistent with practice procedures and policies, and current legislation
18. To respect the privacy, dignity, needs and beliefs of patients, carers and colleagues
19. To behave in a manner which is welcoming to and of the individual, is nonjudgmental and respects their circumstances, feelings, priorities and rights
Practice-specific roles & responsibilities
1. Theatre booking for endoscopies & other procedures
- Ensuring authorisation for procedures
- Creating theatre list
- Sending list to necessary parties
- Communicating with ward on list
- Ensuring doctor has theatre list with referral letters
2. Bed booking in hospital
3. Obtaining authorisation from medical aid for elderly/disadvantaged patients
4. Sending out of endoscopy reports
5. Involved in video capsule process
6. Confirming appointments in advance
7. Ensuring patients are aware if we are contracted in with medical aid and if patient is liable for copayment
Skills & Attributes
1. Maintain a polite, friendly, professional and lively attitude
2. Communication skills to converse clearly over the telephone and in person
3. Organisation and time management to manage a variety of tasks effectively
4. Attention to detail to schedule patients correctly and communicate scheduling difficulties with providers
5. Able to handle difficult patients
6. Customer service orientated
7. Dress code: smart, professional
Requirements
1. Matric
2. Fluent in Afrikaans and English
3. Excellent typing skills
4. Computer skills: Microsoft Office, able to learn medical software
5. Interpersonal skills to interact positively with patients
6. Experience: ±2 years working experience as medical receptionist
Working hours:
Monday to Friday: 08h00 – 17h00
Pay: R10 000,00 - R12 000,00 per month
Experience:
- medical receptionist: 1 year (Preferred)
Work Location: In person
