Contractor Admin Support
Location: Remote – South Africa
Working Hours: US-aligned hours
Working Calendar: Aligned to the US team and business requirements
Position Overview
We are seeking a highly organised, detail-oriented and proactive Contractor Admin Support professional to support the administration and coordination of US-based contractor placements.
The successful candidate will work closely with the VP of Contracts, based in the United States, and will be responsible for ensuring that contractor onboarding, timesheet administration, offboarding and placement changes are handled accurately and efficiently.
This is a detail-focused administrative role that requires excellent communication skills, strong follow-through and the ability to manage multiple stakeholders and deadlines.
Key Responsibilities
Timesheet Administration
- Support with weekly timesheet data entry and review.
- Monitor submitted timesheets for accuracy and completeness.
- Follow up with consultants and/or candidates where timesheets are missing, incomplete or incorrect.
- Ensure timesheet issues are resolved promptly to support accurate payroll and invoicing processes.
Contractor Onboarding
- Manage the onboarding process for all US-based contractor placements.
- Review onboarding documentation to ensure all required information and documents have been provided and are complete.
- Follow up with candidates, consultants and internal stakeholders where documentation or information is outstanding.
- Complete all necessary onboarding paperwork and administrative requirements.
- Track onboarding progress and ensure all requirements are completed before the contractor's start date.
- Liaise with both internal and external stakeholders to resolve any onboarding-related issues or delays.
Contractor Offboarding
- Manage the administrative offboarding process for US-based placements.
- Ensure placements are appropriately closed out within the timesheet system.
- Assist with closing out internal budgeting and other placement-related administrative requirements.
- Ensure all relevant stakeholders and systems are updated upon completion of a placement.
Placement & EOR Administration
- Partner with the Employer of Record (EOR) to manage changes to contractor placements.
- Coordinate administrative updates relating to:
- Contract extensions
- Rate changes
- Approver changes
- Other placement amendments
- Ensure changes are accurately communicated, documented and reflected across the relevant systems.
General Administration
- Support the VP of Contracts with ad hoc administrative projects and tasks as required.
- Maintain accurate records and ensure relevant information is kept up to date.
- Proactively identify outstanding actions and follow up with the relevant stakeholders to ensure timely completion.
- Contribute to efficient and well-organised contractor administration processes.

Essential Experience & Skills
- Previous experience in an administrative, operations, contractor support, recruitment operations, HR administration or similar role.
- Strong to excellent written and verbal English communication skills.
- Previous experience working directly with US-based customers, clients or stakeholders.
- Comfortable working with stakeholders across different functions and levels of seniority.
- Strong attention to detail and accuracy when handling documentation and data.
- Excellent organisational and time-management skills.
- Ability to manage multiple tasks, deadlines and follow-ups simultaneously.
- Strong follow-through and a proactive approach to resolving outstanding actions.
- Comfortable working with online systems, spreadsheets and administrative platforms.
Working Hours
- Candidates must be able to work either US Eastern Standard Time (EST) or US Central Standard Time (CST) hours.
- The successful candidate will work closely with the VP of Contracts and other US-based stakeholders.
