Operations Supervisor
Warehouse & Inventory Operations
ROLE PURPOSE
The Operations Supervisor is responsible for overseeing the day-to-day warehouse and inventory operation. The role leads warehouse staff, coordinates receiving, storage, stock movement, picking, packing, dispatch, returns and delivery follow-up, and ensures that physical stock agrees with system records. The position requires strong operational control, accurate administration, effective staff supervision and timely resolution of warehouse issues.
Key Responsibilities
1. Team Leadership and Daily Operations
· Supervise and manage warehouse staff, including casual and permanent employees.
· Allocate daily duties and set priorities for receiving, put-away, stock control, picking, packing, dispatch and returns.
· Monitor workflow, productivity, quality and turnaround times, and address operational delays or bottlenecks.
· Maintain accurate staff attendance, timekeeping and overtime records.
· Provide clear instructions, coaching and on-the-job support to warehouse staff.
· Ensure staff follow agreed warehouse procedures and escalate recurring performance or operational concerns to management.
2. Warehouse Security, Organisation and Control
· Safeguard the warehouse, including locking and securing the premises in accordance with company procedures.
· Maintain an orderly warehouse layout and ensure correct use of designated bins and storage locations.
· Ensure stock is stored and handled in a manner that prevents loss, damage or misplacement.
· Promote safe material handling, good housekeeping and clear work areas.
· Report security incidents, stock losses, damage and facility issues promptly.
3. Receiving and Put-Away
· Coordinate the receipt of containers and other inbound stock.
· Check received stock against final packing lists and delivery documents, and identify shortages, overages or damage.
· Ensure new stock is accurately captured on the inventory system and placed in the correct designated bins.
· Maintain accurate receiving and put-away records.
· Resolve or escalate receiving discrepancies before stock is released for normal warehouse use.
4. Inventory Control and Stock Accuracy
· Plan and perform independent stock counts and cycle counts.
· Compare physical stock with system stock, investigate variances and report corrective action required.
· Ensure all warehouse stock is fully accounted for on a monthly basis.
· Ensure online stock movements are captured accurately and timeously, including movements relating to Takealot, Makro and similar platforms.
· Monitor bin-location accuracy and ensure internal stock transfers and movements are recorded correctly.
· Maintain clear records of stock variances, damaged stock and corrective actions.
5. Picking, Packing, Dispatch and Delivery Coordination
· Oversee the picking, packing and dispatch of approved orders within agreed timelines.
· Verify the correct items, quantities, packaging and dispatch documentation before goods leave the warehouse.
· Prepare or monitor waybills and maintain accurate Proof of Delivery (POD) records.
· Track deliveries and follow up on delayed, failed or damaged deliveries.
· Manage and maintain relationships with courier companies to support smooth and reliable deliveries.
· Coordinate dispatch priorities with the relevant internal teams and communicate delivery exceptions promptly.
6. Returns and Operational Administration
· Ensure returned stock is received, inspected and processed promptly.
· Return suitable stock to the correct inventory locations and isolate damaged or questionable stock for management review.
· Ensure all return-related stock movements are captured accurately on the inventory system.
· Maintain complete warehouse, receiving, dispatch, returns, courier and stock-count records, with filing completed accurately and timeously.
· Prepare regular operational updates covering stock accuracy, outstanding deliveries, returns, warehouse issues and staff performance.
· Identify practical process improvements that reduce errors, delays and stock discrepancies, and communicate operational risks to management.
7. Sales order data capture
Assisting with sales order data capture and the data capture of all of the above functions

Pay: R9 000,00 - R15 000,00 per month
