Job description

Purpose of Role

To oversee the planning, sourcing, and expediting of inventory for the warehouse, by preparing and conducting cycle, bi-annual, and annual stock counts, to maintain stock integrity, ensuring efficient management of relevant systems and processes.

Role Context

Stores Management

  • Plan, source and expedite inventory for the warehouse, as per the standard operating procedures (SOPs), to meet operational and stakeholder requirements.
  • Conduct daily ordering from the back-order report and ensure timely placement of purchase requisitions for stock items, to ensure the continuous availability of all stock requirements.
  • Oversee the recording of all inventory levels, stock movements and transactions within the data management system (i.e., X3, Sage, QWIX), as maintained by the Stores Receiving Clerk, to ensure the availability of all needed information when required.
  • Implement and enforce procedures for accurate bin locations and good housekeeping practices within the warehouse, to ensure an orderly and clean work environment.
  • Oversee the storing and issuing of all stock, by ensuring the registering of stock receival, the placement of stock in the allocated bins, and the recording of all stock issued to the end users, to maintain an updated and orderly production flow.
  • Manage and monitor the effective administration of all relevant systems and processes, to ensure efficient and professional warehouse operations.
  • Adhere to established performance standards and seek opportunities for improvement in warehouse processes and procedures, to ensure the most efficient services offered to the end users.
  • Attend daily/weekly meetings with management, to discuss and address key challenges faced within the warehouse.
  • Write and distribute all waybills for the transportation of materials and equipment by contractors and the Light Motor Vehicle (LMV) Drivers, to provide permission for stock movements on and off the mine, as required.
  • Review and monitor driver checklist, by ensuring their vehicle is maintain in good condition, to address all maintenance request promptly.
  • Coordinate drive activities and pickup/delivery lists, to ensure the movement of all material and equipment to their desired destination.
  • Partake in inventory re-counts, in collaboration with the Inventory Controller, to ensure all stock is accounted for and reflected within the data management systems.
  • Identify and report all missing stock to management, as per the SOPs, to allow the required investigations and actions to take place.

Stores Management and Integrity

  • Perform daily, weekly, bi-annual, and annual stock counts to ensure high standards of stock integrity are maintained.
  • Pay meticulous attention to the full operating cycle within the warehouse, to maintain accurate reporting on inventory-related activities.
  • Maintain confidentiality and integrity in handling sensitive information related to inventory, suppliers and customers, to ensure the security of all warehouse and stock-related data.
  • Oversee the adherence to all ethical standards and compliance with company policies and procedures, to maintain a safe and risk-free work environment.

Data Integrity and Reporting

  • Manage and monitor the accurate data input into the data management systems (i.e., X3, Sage, QWIX), to facilitate effective inventory management and reporting.
  • Report on all Inbound/Outbound key performance indicators (KPIs) and daily warehouse operations, by document all stock movements, stock quality related-related statistics, and daily challenges, so as to inform management of the latest developments.

Vendor and Supplier Management

  • Evaluate vendor delivery performance and report any consistent non-conformance against contract stipulations, to resolve all shortcoming in service delivery performance.
  • Develop and maintain professional working relationships with suppliers to ensure timely and efficient delivery of materials.
  • Contact vendors/suppliers, via phone or email, to obtain support during urgent deli8very requests for all breakdowns and shootdowns.

Stakeholder Relations

  • Communicate with all relevant Departments on issues of the area of speciality. Liaise across the relevant Departments by engaging with the appropriate stakeholders to ensure all stakeholders remain abreast of Departmental objectives, any potential derailers are appropriately managed and duplication of work is avoided.
  • Communicate with internal and/or external stakeholders, where required, to achieve work objectives and to maintain relationships.
  • Receive, investigate and address all customer queries, as per the SOPs, to ensure that they receive the service/stock as needed.
  • Manage all breakdown requests according to established policies and procedures, including after-hours protocols, to ensure the resolution of urgent stock requirements.
  • Develop and maintain a professional and constructive working relationship with all customers and suppliers, to understand, negotiate and address service requirements.

People Supervision

  • Supervise a team of Stores Receiving Clerks, Stores Controllers, LMV Drivers and Cleaners, on a day-to-day basis by driving the achievement of general key performance indicators and requirements to ensure the function and individuals operate effectively.
  • Supervise and support the team according to TM’s leadership principles and values throughout the entire employee life cycle (performance management, reward etc) to ensure, inter alia, a high-performance culture.

Resource Management

  • Provide input into required changes in resources (financial or non-financial) to enable the achievement of team and/or own objectives.
  • Determine resource needs of the team and/or own area of work to achieve business outcomes.
  • Request and allocate required assets and/or resources for the fulfilment of work objectives to guarantee quality outputs.
  • Monitor the use of assets and resources within the team and own area of responsibility, to ensure assets and resources are consistently and appropriately utilised and managed.
  • Provide staff with day-to-day direction and tasks aligned with Departmental procedures, to enable the usage of less resources more efficiently.

Qualifications:

  • Grade 12
  • Diploma (NQF6) or equivalent in Supply Management, Materials Management, Inventory Management, Warehouse Management, preferably within the mining industry.

Job specific experience:

  • Minimum of 3-5 years’ experience in Warehouse Supervisor, Stock Inventory Supervisor or equivalent role, preferably with the mining or similar environment
  • Proficient in Microsoft suite (i.e., Excel, Word, PowerPoint, etc.)
  • Valid Driver’s License
  • Experience/Exposure on MS Dynamics F&O, Reporting tools : MS Power BI
