Workshop Administrator
Atlas Plant Hire – Port Elizabeth
Atlas Plant Hire is seeking a highly organised, proactive and detail-oriented Workshop Administrator to join our Port Elizabeth team.
This is a diverse role that combines workshop administration, stock control and basic financial administration. Working closely with the Workshop Supervisor and Procurement team, the successful candidate will play an important role in coordinating workshop activities, maintaining accurate records, monitoring inventory and ensuring the efficient flow of information between the workshop, suppliers and the wider business.
This position requires someone who enjoys variety, thrives in a fast-paced
environment and is equally comfortable welcoming visitors, coordinating workshop schedules, processing documentation and supporting the day-to-day administrative functions of the business.
Previous experience within a workshop, engineering, automotive, manufacturing or plant hire environment will be highly advantageous.
Key Responsibilities
Workshop Administration & Planning
- Provide day-to-day administrative support to the Workshop Supervisor.
- Assist with the planning and scheduling of workshop activities to ensure efficient workflow and optimal utilisation of workshop resources.
- Coordinate workshop bookings, job cards and work schedules in consultation with the Workshop Supervisor.
- Track the progress of workshop jobs and follow up on outstanding documentation, supplier requirements and parts availability.
- Ensure all workshop documentation, job cards and supporting paperwork are completed accurately and submitted timeously.
- Work closely with the Procurement team to ensure workshop parts and consumables are ordered timeously to support planned maintenance and repairs.
- Liaise with technicians, suppliers and internal departments to ensure the smooth coordination of workshop operations.
Inventory & Stock Control
- Monitor and maintain accurate stock levels for workshop parts, consumables, equipment and office supplies.
- Conduct regular stock counts and investigate stock variances.
- Ensure all stock movements are accurately recorded on company systems.
- Monitor stock levels and communicate replenishment requirements to the Procurement team.
- Assist with forecasting stock requirements based on workshop schedules and planned maintenance.
- Support the ordering process by preparing purchase requisitions and ensuring supporting documentation is complete.
Financial & Systems Administration
- Requesting purchase orders, supplier invoices and goods received documentation.
- Assist with general financial administration and reconciliations.
- Capture and maintain accurate information on company systems.
Minimum Requirements
- Grade 12 (Matric).
- A relevant qualification will be advantageous.
- Minimum of years' experience in a fast paced, multi-tasking administrative role.
- Previous experience within a workshop, engineering, automotive, manufacturing or plant hire environment will be highly advantageous.
- Experience working on systems such as SAGE or similar.
- Exposure to financial administration, purchasing or accounts administration.
- Intermediate Microsoft Office skills, particularly Excel.
- Excellent organisational, planning and time management skills.
- Strong attention to detail and a high level of accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Valid Driver’s license essential
