Job description
GENERAL ACCOUNTABILITY:
With a direct report to the Workshop Foreman this position has a primary responsibility for mostly administrative tasks, follow ups and various other customer related requirements. A Workshop Administrator performs general office clerical work, which may include but not limited to, customer follow ups, data capturing, compiling management reports, basic word processing, data entries, filing, organizing and all other related tasks associated with workshop administration.
DUTIES AND RESPONSIBILITIES: (Should be KPI/A related)
● To open and capture all Sales Orders and Admin Orders on “EVOLVE” accounting system.
● Arrange for Workshop Manager sign off on completed machines
● Compile and distribute all Job Cards captured on “EVOLVE” accounting system for Workshop
● Ensure all information on Job Cards are captured on the AVM and WIP Spreadsheets.
● Compile quotes for Workshops and Product Support Customers.
● Follow up on Purchase Orders from Customers not yet received.
● Follow up on Purchase Orders from Customers in need of amendments.
● Obtain customer sign-off on completed jobs
● Scan and load supplier quotes, invoices and completed job cards on shared Drive
● Scan and send all supplier quotes and invoices to finance department
● Ensure Job Cards are processed, completed, and distributed for costing and invoicing purposes
● Perform general Customer Liaison.
● Perform general Workshop Admin.
● Sign technicians in and out of jobs
● Capture and distribute Workshop Technician Time Sheets and leave requests
EDUCATION:
● Matric (Gr 12) or equivalent of an Gr 12 Certificate.
● Administration course would be beneficial.
EXPERIENCE:
● Minimum of 5 years’ experience in a similar position.
● Working experience on MS Office
● Computer Literacy
● Intermediate Excel & Word knowledge
