This is an exciting opportunity for an Executive Assistant professional who would provide comprehensive support to our Legal & Compliance team, ensuring seamless operations in a fast-paced and professional environment.

A bit more about the Opportunity...: What Your Day-to-Day Will Look Like:

Complex diary management across multiple stakeholders, including coordinating internal and external meetings across time zones.

Booking meeting rooms.
-
Travel management, including booking flights through either R&M or Amex, accommodation, ground transportation.

Processing and managing expenses on expensify and invoices received for the legal team members (with finance).

General administrative and operational support for the Legal and Compliance team.

Managing ad hoc requests and acting as a key point of contact for both internal and external stakeholders.

Maintaining confidentiality of highly sensitive legal, compliance and business information.
-
Providing cover and support for other Executive Assistants when required.

Managing team events and year-end functions.
-
Maintaining client contact information lists.
-
Acting as a central coordination point between Legal, Compliance, Advisors, and wider business stakeholders.

Assisting with formatting reports and other documents.
-
To work as part of a team of EAs and provide cover and help as requested by other members of that team and the investment professional team.

Other functional/admin support as required and as may evolve over time.

Provide administrative support to the Compliance function, including:
-
Assisting with Star Compliance administration, including onboarding, certifications and routine staff requests.

Coordinating reverse KYC requests and liaising with external service providers.

Supporting compliance training administration, including scheduling and completion tracking.

Assisting with preparation of Compliance reporting and management information.
-
Coordinating compliance service providers, invoices and related administration.
What amazing People will bring to the role: Who We're Looking For:
An Executive Assistant is confident in providing administrative support to the Legal team.
- Coordinate legal training sessions, forums and team events.
- Manage document execution processes including signing packs and electronic signatures.
- Coordinate secondee onboarding and maintain legal trackers and meeting schedules.
- Support committee administration, including agendas, minutes and action tracking.
- Maintain legal documentation, tracker and records, ensuring accuracy and confidentiality.
- Provide general administrative support to the Legal & Compliance team as required.
You'll ideally bring:
- 5 years’ EA experience supporting senior and multiple stakeholders in a fast-paced and evolving environment.
- Experience working within Legal, Compliance, Financial Services, Professional Services or Private Equity is advantageous.
- Strong organisational skills with exceptional attention to detail and the ability to manage multiple priorities.
- Demonstrated sound judgement, discretion and the ability to handle confidential information.
- Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint).
- Graduate calibre preferred.
- Exceptional attention to detail and meticulous organiser.
- Strong character, ability to work under pressure.
- Ability to handle multiple tasks simultaneously and work at pace.
- Ability to juggle constantly changing and complex diaries and busy interlined diaries.
- Adaptable and flexible – ability to adjust to changing priorities and unexpected situations with limited guidance.
- Demonstrable critical thinking skills.
- Utmost discretion – handle all matters with absolute confidentiality.
- Strong problem-solving capabilities – anticipates challenges and provides solutions.
- Considerate internal and external facing manner, as often the voice of your relevant stakeholders.
- Highly articulate (verbal and written).
- High quotient of common sense and emotional intelligence.
- High proactivity and ability to work autonomously.
- Team player – collaborative amongst the wider EA group and across the firm.
- Self-starting, strongly ambitious and tenacious: willing to “go the extra mile”.
- Ability to demonstrate the willingness to check and respond to emails outside of office hours when required.
- Desire to become an integral part of the team, become trusted with sensitive and mission critical responsibilities, and create a long-term working partnership with stakeholders.
