Job description

PURPOSE OF THE ROLE:

To provide high level administrative, operational and strategic support to the Founder and CEO, ensuring seamless workflow, effective communication, informed decision making and enhanced organisational productivity. The Executive Assistant enhances the Founder’s capacity to lead by managing administrative needs, streamlining information flow and supporting strategic business activities.

ROLES AND RESPONSIBILITIES:

Executive Support & Strategic Coordination

· Provide comprehensive personal assistance and professional support to the Founder while maintaining strict confidentiality and discretion.

· Serve as a trusted gatekeeper, managing access, information flow and prioritisation of matters requiring the Founder’s attention.

· Conduct research, gather insights and prepare reports to support strategic initiatives and business decisions.

· Track and follow up on strategic priorities, ensuring deadlines, deliverables and commitments are met

Operational & Administrative Management

· Manage an active calendar, ensuring optimal prioritisation and schedule efficiency.

· Oversee email management, including drafting responses, filtering communication and ensuring timely follow‑up.

· Coordinate travel arrangements, itineraries, agendas, logistics and documentation for local and international travel.

· Prepare high‑quality correspondence, presentations, proposals and internal communication on behalf of the Founder.

Project Office Support

· Provide administrative and coordination support to the Project Office, ensuring project tasks, milestones and deadlines are met.

· Assist with project tracking, reporting, documentation and stakeholder communication.

· Support cross‑functional collaboration to ensure project information is accurate, updated and shared timeously.

Stakeholder & Relationship Management

· Act as the primary point of contact for internal and external queries directed to the Founder and CEO.

· Liaise with senior leaders, partners, suppliers and external stakeholders with professionalism and diplomacy.

· Coordinate executive meetings, board engagements, leadership sessions and follow‑up actions.

Governance, Compliance & Standards

· Ensure compliance with Harvest Table Quality, Health & Safety and Food Safety Standards.

· Support the Founder in monitoring adherence to organisational policies, governance requirements and reporting obligations.

Proactive Executive Enablement

· Anticipate the needs of the Founder and business, ensuring proactive preparation and problem‑solving.

· Identify inefficiencies and recommend improvements to enhance executive productivity.

· Manage confidential personal tasks and responsibilities as required.

KNOWLEDGE AND EXPERIENCE:

· Matric

· Relevant tertiary qualification advantageous

· Minimum 5 years proven experience as a PA or Executive Assistant

· Minimum 2 years supporting an Executive/Director

· Experience in event planning, coordination and executive level logistics

· Strong proficiency in Microsoft Office Suite, calendar management tools and digital productivity platforms

· Experience in project coordination or project office support advantageous

· Exposure to fast paced, high growth environments preferred
