Job description

We are seeking a highly organized, detail-oriented and reliable Laboratory Administrator to provide efficient administrative and operational support within our laboratory. The successful candidate will assist with the accurate processing of laboratory documentation, sample administration, data capturing and general office duties while ensuring compliance with laboratory procedures and quality standards.

Key Responsibilities

Administrative Duties

  • Perform general administrative and clerical duties within the laboratory.
  • Capture and maintain accurate patient and laboratory information.
  • File, scan and maintain laboratory records and documentation.
  • Prepare reports, correspondence and other relevant documentation.
  • Answer telephone calls and respond to general enquiries professionally.
  • Assist with scheduling, meetings and other administrative requirements.
  • Maintain confidentiality of patient and laboratory information at all times.

Sample & Laboratory Administration

  • Receive and process laboratory samples in accordance with established procedures.
  • Verify that sample details correspond correctly with accompanying documentation.
  • Identify and escalate discrepancies, missing information or unsuitable samples.
  • Ensure samples and documentation are correctly labelled and routed to the relevant laboratory sections.
  • Assist with maintaining accurate sample tracking and records.
  • Communicate with relevant departments regarding sample and administrative queries.

Data Capturing & Records

  • Capture laboratory and patient information accurately and timeously.
  • Maintain electronic and physical filing systems.
  • Ensure records are complete, up to date and easily accessible.
  • Assist with compiling administrative and laboratory-related reports.
  • Maintain accurate logs and registers as required.

Health, Safety & Quality

  • Comply with all laboratory health and safety policies and procedures.
  • Maintain a clean, organised and professional working environment.
  • Follow infection prevention and control procedures.
  • Handle confidential and sensitive information appropriately.
  • Report incidents, errors and non-conformances to the relevant supervisor.
  • Adhere to laboratory quality management systems and standard operating procedures.

Minimum Requirements

  • Grade 12 / Matric.
  • Relevant qualification in Administration, Laboratory Administration, Healthcare Administration or a related field will be advantageous.
  • Previous administrative experience, preferably within a medical, pathology, healthcare or laboratory environment.
  • Computer literacy, including Microsoft Office.
  • Strong data capturing and record-keeping skills.
  • Excellent attention to detail and accuracy.
  • Good written and verbal communication skills.
  • Ability to work under pressure and meet deadlines.
  • Ability to maintain strict confidentiality.
