Job description

VACANCY: PROJECT COORDINATOR

Location: Amajuba District – Newcastle & Surrounding Communities
Reports to: Project Manager
Contract: Fixed-term: 1 October 2026 – 30 June 2027
Working Hours: 40 hours per week, Monday–Friday (08:00–16:00)

Working hours may vary due to travel requirements. Where employees are required to work outside of normal working hours, Time Off in Lieu (TOIL) will be provided in accordance with TREE’s policy.

About the Role

TREE is seeking a dynamic, organised and proactive Project Coordinator to support the implementation and coordination of the Kuyakhanya Project. The successful candidate will play a key role in ensuring high-quality programme delivery, effective monitoring, administrative efficiency, and compliance with organisational and funder requirements. This position requires an individual who is passionate about community development and capable of working closely with Community Play Facilitators (CPFs), communities and management to drive programme excellence.

Minimum Requirements

  • Degree in Social Sciences such as Community Development, Social Work, Project Management, Education, or a related field.
  • At least 2–3 years’ experience in project coordination or community-based programme implementation.
  • Experience working with community workers or facilitators.
  • Valid driver’s licence.
  • Own vehicle or reliable access to a vehicle.
  • Willingness and ability to travel regularly within the allocated project area.

Key Responsibilities

1. Project Management & Coordination (50%)

  • Coordinate and support the effective implementation of the Kuyakhanya Project.
  • Manage programme and funder-related queries in collaboration with the Project Manager.
  • Provide oversight and support to Community Play Facilitators (CPFs) to ensure high-quality programme delivery.
  • Assist with the recruitment, selection and induction of facilitators.
  • Identify challenges affecting programme implementation and recommend appropriate solutions.
  • Support compliance with organisational policies, procedures and best practices.

2. Project Monitoring (30%)

  • Attend and prepare for project meetings.
  • Monitor and review field reports to ensure accuracy, completeness and timely submission.
  • Conduct regular field visits to monitor programme implementation and promote best practice.
  • Track project progress and identify and address performance gaps.
  • Provide ongoing support and guidance to CPFs where required.

3. Administration & Logistics (10%)

  • Process and monitor travel and refreshment claims.
  • Manage purchase orders and follow up with suppliers and service providers.
  • Order and coordinate the delivery of programme resources, including food parcels, training materials and equipment.
  • Prepare logistics and supporting documentation for funder and stakeholder visits.
  • Support the effective distribution of programme resources to CPFs.

4. Reporting (5%)

  • Compile and submit weekly work plans and reports.
  • Prepare monthly Project Coordinator reports in line with organisational and funder requirements.
  • Ensure accurate and up-to-date project documentation and records.

5. Facilitation (5%)

  • Prepare and facilitate training for the Kuyakhanya Project.
  • Travel to communities to conduct training and provide programme support where required.
