The Payroll Administrator is responsible for the accurate and timely administration and processing of client payrolls, while ensuring that all payroll information is handled confidentially and in accordance with applicable legislation, company procedures and departmental standards. The role requires someone who can take ownership of their assigned payrolls, communicate effectively with clients and colleagues, identify discrepancies and actively contribute to improving departmental processes.  

  

Key Responsibilities:

* **Payroll processing** – Runs accurate, on\-time payrolls across a portfolio of client accounts (monthly, weekly, bi\-weekly and ad hoc), managing each client's employee data, changes and inputs independently while ensuring consistent quality across all of them.
* **Statutory compliance** – Manages statutory submissions (SARS PAYE, EMP201/EMP501, IRP5/IT3(a), UIF, SDL, ETI, COIDA) across multiple client entities, each potentially with different requirements, deadlines and risk profiles.
* **Client service** – Acts as a direct point of contact for client payroll queries, translating technical payroll matters into plain language for non\-payroll clients, and managing turnaround times across several client relationships at once.

 **DELIVERABLES**

**Provide end\-to\-end financial management for the assigned hospital facility**

* Ensure the production of accurate and timeous financial management information.
* Prepare the Hospital’s financial statements according to internal CHG standards and in compliance with IFRS.
* Ensure Masterfile of Financial information on the approved financial system.
* Review and provide feedback for asset, liability and capital accounts journals prepared by the Hospital based Financial Accountant.
* Prepare Quarterly and Annual Financial statements and supporting working documents.
* Prepare management accounts, budgets and forecasts.
* Analyse and interpret balance sheet reconciliations and costs.
* Review and sign\-off general ledger reconciliations.
* Analyse and monitor variances to budget and take appropriate corrective action in support of achieving financial targets.
* Compile annual and interim budgets and report on variances.
* Review and sign\-off.
* Evaluate the hospital’s financial processes, procedures and controls and implement remedial action to ensure alignment.
* Ensure the hospital is VAT compliant.
* Ensure the maintenance of CAPEX and fixed asset registers.

 **Deliver on the Finance Operating Plan**

* Implement, monitor and control relevant finance processes according to quality standards, policy, compliance and governance requirements.
* Ensure the alignment and implementation of end\-to\-end standard operating procedures / processes.
* Research, enable and consult on improvements and opportunities.
* Review existing processes and suggest innovative ideas to improve and streamline processes to drive efficiencies and minimise redundancy.

Finance Manager

**Overall Purpose of the Job:**

The Collections Controller, part of the Accounts Receivable team, for Advtech Group Schools Division, is focussed on collecting debts from parents/ account payers. Responsibilities include locating and contacting debtors to enquire about their payment status, planning and implementing a course of action to recover overdue accounts and tracking of outstanding debt.

**Responsibilities for this Position:**

**Debt Management System Interface:**

* Call Account payers/ parents, at the beginning of the year, to agree on payment particulars viz monthly, per term or once off. Capture payment agreement on the Excalibur Debt Management system
* Follow up with account payers/ parents via Excalibur Debt Management system, Customer Service Tracking System to confirm payment agreement reached
* Update the system, as required, when account payers/ parents information or contact details have changed

**Debt Collection:**

* Monitor accounts on the system, each month, to manage outstanding debts.
* Work according to a call schedule
* Locate and call the account payers/ parents, whose accounts are in arrears, to discuss the outstanding debt in accordance with the agreed daily schedule
* Arrange for payments to be made, negotiating debt recovery including payoff deadlines or payment plans
* Follow up with account payers/ parents via Excalibur Debt Management system, Customer Service Tracking System to confirm payment arrangements made
* Monitor and manage all Broken Payment arrangement as per Excalibur Debt Management system within set target time frame

**Tracking of Outstanding Debt:**

* Call all account inclusive of overdue accounts and negotiate payment arrangements, updating the system as necessary
* Follow up on outstanding payments, checking for payment within 5 days
* Follow up on payments not honoured within set target time frame
* Place business hold on accounts that are not paid in consultation with Management

**Education:**

* Grade 12 / National Senior Certificate. NQF level 4

**Experience:**

* 3 years’ Experience as a Collections Agent/ Controller
* At least 1 year in a Shared Service environment

Monthly reporting on Income Statement  

1\. Monthly analysis of income and expenses by ensuring ledger integrity inclusive of accurate allocations, raising accruals \& any other adjusting journals where required to ensure accuracy, validity and completeness of all transactions in conjunction with Property Management Team.  

2\. Review and ensure accurate allocation of capital expenditure.  

3\. Determine and process TI and Broker Comm provisions and amorts for new deals.  

4\. Ensure accurate monthly pushdowns are completed for co\-owned buildings by set deadline date.  

5\. Monthly reporting on Income Statement, utilities and variances to budget demonstrating a clear understanding of the underlying metrics, taking responsibility for the accuracy of the income statement to be completed by set deadline date.  

6\. Present financials at monthly asset management report back meetings.



Monthly reporting on balance sheet including materials balances.  

1 Balance sheet recons to be completed by the deadline date set. Review and resolution of queries to be done at the monthly meeting held with the Sector Accountant.  

2 Saving of adequate supporting documentation for audit purposes.


**Ad hoc**



Operating cost and utility recoveries  

1\. Full recovery in line with assumption and/or agreements incl. but no limited to Solar and Water Back\-up, Diesel \& Maintenance Team, Variable Ops, Gas and any other recoverable expenses.  

2\. Power BI 6 monthly accruals to be done at half year and year end.  

3\. Preparation and finalization of Adjustment Accounts on sale of buildings including ensuring closure of council accounts and refunds of credit balances.  

4\. Liaising with auditors to ensure effective audit process.  

  

Development of Financial reports/spreadsheets  

1\. Income forecast and accruals schedules to be set\-up/updated at the beginning of each financial year based on new approved budgets.  

2\. Core Portfolio and Utilities reports to be set\-up at the beginning of each financial year.  

  

Participating in bi\-annual performance discussions based on agreed KPI’s.
